We know that loads of our users are running Googlemail or Google Apps. We do too. It’s been so easy adding more users to the company email system as we’ve grown over the past few months, and of course it’s fully integrated with Brightpearl.

Google have just launched the “priority inbox” feature. We think this is a great idea. We spend a lot of time thinking about how to make business more efficient, so thought you’d like to know about this too. Your Gmail/ Google Apps account should have a new link at the top suggesting that you try the new feature – give it a go!

Gmail CRM integration

Of course, email integration doesn’t stop there. You can set up your Pearl account to send all outgoing email via your Google server, so that emails sent from within Pearl appear in your Gmail conversations. You can add filters to your Gmail account so that all incoming emails (from you AND all your colleagues) are copied into the contact timeline in Pearl, so you can be sure you’re working with the most up to date information. We've updated the Pearl email dropbox!

You can use your Pearl email dropbox to keep a copy of all communications on the relevant contact timeline, whichever email software you use.  That’s really handy if you need to access a full contact history, or need to share information between team members without CC-ing everyone all the time.

Back in the early days of 2009 you had to set up a separate dropbox email account that Pearl connected to, and copied all the emails over. Now it’s much, much simpler.

All you need to do is CC or FWD to your dropbox email address. That’s it! Nothing to set up.

Find your dropbox email address at Setup:Options:Contacts. For detailed information on the dropbox system, read more here. Email is a fickle beast, and we’ve tested the system on as many different email clients as we can get our hands on, from Hotmail through Thunderbird, Mac, PC, Linux… but if you spot emails not coming through, then please let us know via the Pearl helpdesk. Thank you :)

If you’re using the old dropbox method, please note that we will be turning this off on the 1st of March, so make sure you get into the habit of using your new one soon!

WordPress CRM / Contact form plugin

If you run a WordPress blog or website, then you’ve probably got a “contact us” page to capture new leads. Excellent, that’s a great start. But what happens to those leads that come in from your site? You probably get an email sent to you, which you filter, respond to and then wait for a reply. You’re probably pretty busy, so if they don’t get back to you, then it’s unlikely that it’s going to turn into a deal.

How handy would it be if all your website contact form submissions appeared magically in a contact management system, with all the relevant information already filled out for you? Even better, let’s send the visitor a welcome email, perhaps even instructions for the next step that they should take. When you have time,  you visit your system, pick up the leads, and immediately you have all the information you need in front of you. If they’ve contacted you or bought from you before, then it’s easy to see what’s going on, who’s spoken to them and what their relationship is with your company.

It’s really easy to keep your new lead stack under control.

Just install the Pearl plugin for WordPress, and your contacts will be captured directly into the CRM software. The plugin is a really simple, yet uber-powerful tool, available from WordPress here. It inserts a Pearl Smartform into your blog or website, which you control from within your Pearl account.

Some of the awesome features are:

  • Tag incoming contacts
  • Assign contacts to staff members
  • Send an automated email reply
  • Send an SMS to yourself or a team of staff members
  • Trigger emails to yourself or your team
  • Add as many fields as you need, including custom fields

Smartforms – saving you time and effort

Here’s a tip for those of you that capture leads from a website and then need to do something with those leads. Of course if you are running your website on Pearl then you get a load of other benefits too.

Smartforms are used to inject contact information directly into your CRM system from any website. Just configure your form in Pearl, insert a small bit of code into your website, and all contact requests will not only send you (or your team) an email/SMS, but will also store all the contact details in your CRM ready to follow up later.

Smartforms can also be used to trigger an automatic reply, tag incoming contacts, and give them a lead source. Watch the video below to get an overview, then read the documentation to set up your own!

Brightpearl and Mailchimp. Changing the world, one banana at a time.

We are excited to announce that Mailchimp is now integrated with Brightpearl so that you can have your website and CRM talking directly with your email lists. We’ve built a system that manages all your subscribers in MailChimp, without having to log in except to view reports.

Here are some of the features you get:

  • New website signups automatically added to Brightpearl and MailChimp (even if you don’t have your website with Brightpearl- using SmartForms). Saves you time and aggro – all the work’s done for you!
  • Awesome reporting to see who is reading your emails
  • Communicate easily and cost effectively with selected groups of customers and contacts by tagging and sorting within Brightpearl, then simply adding to a MailChimp list.

Recently added features

The eagle eyed amongst you all will have noticed a number of handy new features in your Pearl account. Here’s a summary of what’s new:

Contacts

The default credit limit and credit terms for new contacts is now defined by the settings in your main company contact. To edit this, visit Setup – Options – Defaults, and click the blue link.

Import all your contacts from Outlook with the import wizard. Outlook has some funny characteristics that has meant that we’ve had to put a lot of work into this feature – if your data throws up a hiccup, let us know. Always tag imported contacts so that you can identify them later!

You’ll have spotted that Groups are now Tags – expect to see the Tag concept rolled across the rest of Pearl in the near future. You can batch add and remove tags using the options in the left hand side of the CRM screen.

Batch email – to send an email out to a number of contacts, use the batch email feature in the left hand side of the CRM screen. This does use email credits, from 0.6 pence each. You can also use the more powerful email marketing features, which will soon have full stats and analysis in place.

Batch process for large numbers of contacts – gone is the threshold of 750 contacts … you can now choose to perform an action on a much larger group of contacts without having to display them all on screen first. There’s a handy little “display/perform” menu in the advanced search filter on the CRM screen

Sales and Invoicing

We’re pleased to say that the new PDF system that we put in place a few weeks ago is proving much better, and has resolved the issue of failing PDFs. All PDFs now go out with a “view online” link – which will introduce your customers to your web portal, which will mean that they (hopefully!) go to get information themselves rather than hassle you for re-prints, statements and so on.

If you want to give your customers the ability to pay their invoices online, you need to set up one of the following payment methods: PayPal, Protx (now SagePay), Secure Trading.

Credit card payment – you can take card payments from customers from within your Pearl account – visit the Setup – Payment screens in your admin area for a full walk through on setting up the Secure Trading console.

Accounting

Whilst entering quick invoices, you can quickly add a new customer or supplier without leaving the invoice entry screen – look for the link on the right hand side of the screen.

Any of your nominal codes can now be set as a “bank account” – change your settings in the Chart of accounts setup screens.

You can export your Chart of Accounts by using the Export Trial Balance, with “include zero balance” ticked. Handy if you are setting up multiple Pearl accounts and want each of them to have the same chart of accounts.

Lock accounts to one user – very handy for your accountant to lock the accounts for their exclusive access whilst you continue to enter transactions on a day to day basis. Have a look at the Accounts – Setup – Year end screen.

Products

You can now add up to 15 sub products in a bundle – it was just 6 before.

If you want, you can edit the value of stock in your stock table, using the Products – Stock – Stock report screen.

We’re charging on towards Pearl 2.0 … due to hit the virtual shelves on May the 1st. Everything is slotting into place nicely. The new user interface is really proving to be rather a hit, and we’re packing more features in while making it easier to use at the same time.  The biggest problem is that we may run out of 1.xx version numbers before we get to the start of May!

New payment plans
In a move towards easier billing, and a simpler growth for Pearl in the future, we have updated our payment plans (pricing structure). Most of our existing clients won’t see much of a difference, and in many cases your monthly fee now works out cheaper. 5 days before your next bill is due, a screen will pop open in your Pearl account offering you the option to confirm or change payment plans. If you have account terms with us you can put the bill on account, otherwise you will need to pop your credit card details into the screen before the next monthly bill is due. For more information on the new pricing structure, see here. The eagle eyed amongst you will notice that there is a FREE version. Sssh.

Payment allocation screen
This screen in the accounting area will now prevent you from posting payments for invoices before the invoice date – which confuses the way that Pearl allocates invoices. To pre-pay an invoice, you should be using a “payment on account”.

Super administrator
You can set any of your staff to be “system administrators” – these people have access to change staff privileges, re-assign campaigns and affiliates once set, and generally have more administrative options. Visit Setup::Licences and Permissions to see who they are.

List contacts with no campaign or owner
There are now search options within the CRM to find those contacts that need to be assigned a campaign or an owner.

New PDF generator
You’ll all be glad to hear that we have ditched the previous company that was building your invoice and quote PDFs; we’ve installed our own top-of-the range PDF system onto one of our quieter servers. PDF generation is now reliable, faster, and also the page breaks are much neater. We have had to put one or two tiny style overrides in place (for example font size) – so if you notice that these are affecting your PDFs then get in touch with us via helpdesk.

New widget : _deliveryEmail_
If you want to include your customer’s delivery email address on a purchase order, for example.

Multi storefront product / domain managment
If you’re managing multiple storefronts from the one Pearl account with different products per domain, then you can now use the APM (Batch process) to add, remove and update domains in bulk.

Look-ahead search in Supplier and customer quick-invoice
You’ll notice if you’re using Pearl Accounts that the quick invoice screen now has a look-ahead search box – which means that it is now much easier to find your supplier (or customer). NOTE that the customer or supplier must be a primary contact to be found in the list.

PO status on fulfilment of sales order
If you are using order fulfilment, to create Purchase Orders for a sale, then you can see the status of each Purchase Order from within the “Cost” tab on the sales order. Handy.

Changes to Chart of Accounts
We have a number of users moving across to Pearl from other software such as MYOB, Sage and TAS books, and to make their life simpler, as well as the accountants that work with them, we are making a few changes to the way that you can configure your chart of accounts. Before version 1.86 you have the option of creating bank accounts only between codes 1200 and 1250. You can now assign any code between 1000 and 2000 to be a “bank account”. For those of you moving from an older version of Pearl, all your bank accounts will have been automatically assigned. We’re going to be introducing the ability to tie a Purchase code (5000s) to a matching sales code (4000s) for accurate cost-of-sales analysis in the near future.

Credit notes
Pearl has a new template – “Credit note” – this is used in place of the “Invoice” template to create PDFs where the value of a sales order is less than zero. Your credit note template has been created automatically from your Invoice template. Edit it if you like in the Setup area.

Email marketing
We’re nearly there … mass email marketing is disabled in this version as we put in the final tweaks and tests. We plan to have it rolled out by the end of this week, which will be Pearl version 1.88 or 1.89.

Secondary reference now available for Purchase Orders
The “customer reference” field in the “other” tab in orders was previously only available for Sales. It’s now available for Purchase Orders too – don’t forget you can type this reference into the orders quick search box to find the order too.

When emailing a PO out to your supplier, Pearl will now save a copy on the order in the attachments tab.

The second version of the EPOS screen has now been launched – including the following updates:

  • Fewer clicks to create an order
  • Ability to require staff to log in with a PIN number rather than select from a menu
  • 60 second time-out: No need to re-identify yourself for each sale if it’s busy at the till
  • Customer quick-add is easier and more intuitive

We will be adding some more features to EPOS over the next week, too.

Accounting data import
You can now import a whole set of accounts into Pearl from Sage, TAS and MYOB, including Chart of Accounts, Trial Balance, Debtors and Creditors. This feature is available until you have entered 10 transactions into the accounting system. We’ll be running a full press release on this one soon – but if you need it nownow, then get in touch.

Secure Trading credit card payment console
This is a pretty big feature release – and we’ll also run a specific release on this one. It gives you the ability to take credit card payment directly from within your Pearl screens … the payment turns up in your bank account a few days later! Fees are competitive, and Secure Trading offer an excellent hand-holding setup service for new users. To see it in action, set a sale to payment method “Secure Trading”, save and use the “take payment” link.

Email marketing now available within Pearl

After much demand, we’re pleased to announce that Pearl has partnered with a leading global email marketing supplier to provide a powerful and robust email marketing system from within Pearl.

You can now send clients and prospects professional newsletters and announcements in minutes from within Pearl without spending time transferring all your contact data from one system to another.

For those who don’t yet use email marketing to keep in touch with clients and prospects, this might be a simple way to start. Email Marketing is available in all versions of Pearl including Pearl Express – the new FREE version of Pearl. Although you do have to pay for emails sent.
