Anglo-Welsh Utilities have a team of 30 engineers performing domestic, and industrial gas meter installations across the South West England and Wales.

The challenge
Anglo-Welsh needed to improve the accuracy of job scheduling to reduce the time to invoice and the number of "aborted" jobs that resulted in lost revenue. Anglo's administration team were struggling to manage the process using spreadsheets whilst keeping clients and management updated with current information.

Engineer job reports, quotes and invoice documents are automatically emailed from orders saving time - no more producing, printing and compiling those documents that are prone to being mislaid.

All job/order information can be accessed with a couple of clicks in Brightpearl. Contact information (client, consumer & engineer), delivery addresses/dates, hardware required, any special instructions and an audit of all previous communication is now available at a glance in Brightpearl rather than being spread out in several spreadsheets.

Web Accounting gives the management team at a glance financial information, whenever its needed, where-ever they are.

The new Anglo website with client portal gives access to any order through an intelligent search engine. Documents such as job reports, photos, invoices, etc are all accessible via the portal where duplicate copies can be downloaded. The client no longer has to disturb the scheduling team and wait for a response - information is available in real time.

With the Brightpearl stock management system all gas meters and other stock are tracked to jobs so the client and the engineers and management can have confidence that nothing is missing.

Operating overheads were reduced by circa 30% within 4 weeks. After 3 months of using Brightpearl, administration overheads were reduced by circa 60%!

Our approach
Understanding and translating a vast amount of data from different excel spreadsheets into Brightpearl takes a great deal of listening, understanding and planning with the client. Some of the Brightpearl team worked from the Anglo offices and helped the the planning team for several days to understand how the business functioned.

System cut-over planning and expert project management minimised disruption to business during the high risk system change.
