Introduction to Contacts and CRM

Brightpearl stores all of you business contacts in a single database. A contact could be:

  • A customer - an individual or company you have a selling relationship with.
  • A supplier - an individual or company you have a purchasing relationship with.
  • A staff member - your employees and Brightpearl users.

Suppliers are marked as such, but otherwise every contact in the database is a “non-supplier”. Sales can be created for any contact that is not a supplier.

Setting Up

When you begin using Brightpearl you should think about how you would like to monitor your contacts. Contacts Statuses can be used to identify your leads, prospects and customers, and Contact Tags can be used for grouping contacts for reporting, marketing purposes.

Creating Contacts

Contacts can be created manually or automatically, from website sales, imported orders or by importing a spreadsheet.

Contact Relationships

All contacts in your Brightpearl CRM are at the same level; there is no account hierarchy. You can, however, create relationships between contacts, nominating one as the "Primary" contact. This is useful for invoicing a head office, for example, or for recording several individuals who all work for the same company.

Price Lists

Brightpearl has a powerful price list structure, allowing you to set up as many price lists as you need. Perhaps you are a large retailer of electronic equipment selling to the end-user online, as well as selling bulk orders to stores for separate, onward sale to the end-user. The end-user would be charged at retail price, whilst the stores would be charged at trade price. Note that this has nothing to do with the price at which you buy products, which is the cost price.

If a contact is set to trade price then when a sale order/quote is created for them, the trade prices will be used. If no trade price exists for a product, when creating an order this product will be hidden. When a user logs in to your website, all prices will be displayed using the correct price list.

Assigning Contacts to Staff

Each of your contacts can be assigned to one of your members of staff. This can be useful for sales commission, credit control or account management.
