This guide will take you step-by-step through installing and setting up the eBay Integration with Brightpearl. You will learn how to:
- Sign up to Brightpearl Ecommerce
- Install the eBay Integration
- Configure the Integration
- Authorise Brightpearl access to your eBay account and go live!

1. Sign up to Brightpearl Ecommerce
Before you can start using any of our online sales channels you will need to subscribe to Brightpearl Ecommerce; this is free during your trial period.
- Go to Setup > Company > Billing details.
- Tick the checkbox to buy the Ecommerce package.
- Click the Enter payment details button and follow these on-screen instruction to upgrade your account.

2. Install the eBay Integration
After you have subscribed to Brightpearl Ecommerce you are free to install any of our integrations (we will be adding more). To install the eBay Integration:
- Go to Setup > Channels > Browse / Install.
- Click the Install button in the eBay panel.
The integration will be installed immediately and all the setup screens added in the Channels section.
3. Configure the integration
Once you’ve installed the eBay integration you will need to define your settings and authorise the connection to your Brightpearl account. Until you have done this no information will be shared.
To change your eBay integration configuration go to Setup > Channels > Setup: eBay.
First, make the following choices:
| Order Status for new Orders | What will be the default order status used for new sales created from eBay? You may want to create a new status specifically for these orders. |
| Staff Member used when Orders are created from eBay | Each order generated in Brightpearl is stamped with a staff member, date and time for audit purposes. If you manually download orders it will use the staff name of the person who requested it. Use this field to specify what name should be used when orders are automatically downloaded. You may wish to set up a dummy staff member for this purpose; this won’t affect your concurrent licenses so won’t cost you anything. |
| Should Brightpearl update listing quantities based on inventory on hand? |
Select Yes if you want the quantity of each item listed on eBay to be the quantity you have on hand (and therefore available to sell) in Brightpearl. If you say No you will need to manage the quantity directly in eBay. You might choose to do this if you drop-ship items and never hold stock. |
| Should Brightpearl end your eBay listing when the inventory on hand value becomes 0 for a product? | Select Yes if you want to automatically end your eBay listing when your on hand stock quantity becomes zero. This will ensure you do not over sell and promise customers items you don’t have. However, be aware that eBay will charge you to list items again so if you continually replenish stock you might consider saying No. |
| Enabled sites | Tick the checkbox for each eBay website your products are available on. This allows you to filter your eBay listings report to products per site and view the correct product preview. |
| Default site | Select your default eBay website – the one you registered with. This is used for linking and synching your products. Prices are updated in the currency relevant to your default site and eBay is then responsible for making any conversions to the correct currency for their other websites. |
| Charge tax on shipping |
(eBay.co.uk sites only) Tax will be applied to shipping charges on the order if the products are set as taxable within eBay. |
Now Save!
After you have completed the above fields you must SAVE your changes, this will automatically create a new “eBay Sales” Channel so you can report on sales through eBay.
This channel also defines the warehouse and pricing information, so you should confirm the settings are right before you go any further.
Go to Setup > Channels > List channels and click the edit pencil next to the “eBay Sales” channel:
| Warehouse | If you are using multi-warehousing the channel will automatically select your first warehouse (ID 2), it is this warehouse that will be used for updating all your inventory levels on eBay, so you should make sure the correct one is selected! You can easily amend it by clicking on the pencil icon. |
| Price List | Your first sell price list will automatically be selected. It is this that defines what prices will be updated to eBay. You can easily amend this by clicking on the pencil icon. |
| Team |
If you want to assign all eBay orders to a Team you can select it on the channel. By default, no team is selected. |
This channel will automatically be applied to orders generated from eBay, allowing you to report and monitor your eBay sales. Only one channel is created for eBay, even if you are selling through multiple eBay websites (e.g. UK, USA...), so if you wish to report on eBay sales per country you can also filter by country.
4. Authorise the connection and go live!
You will need to authorise your Brightpearl account to access your eBay account to complete the connection. When you’re ready to go live with the eBay integration, complete your live installation by going to Setup > Channels > Setup: eBay and carrying out the following:
| Authorisation token |
You need a token (or authorisation code) to link Brightpearl to your eBay account. Click on the Authorise with eBay button to get a token from eBay (only be available after saving). You will be taken to eBay to log in. You must read and agree to the consent form. You will then be returned to Brightpearl and the token field will be populated; the connection is authorised and activated. |
| Authorisation token expiry date | This is the date your Authorisation token expires, after this date the integration will no longer be authorised. You must re-authorise your integration to continue updating and downloading. |
| Is the integration active? | After you’ve obtained your Authorisation token this will be automatically be set to Yes. This means that your Brightpearl account and eBay are now linked and inventory quantities and prices will begin updating and sales orders will begin downloading. If you wish to break the link at a later date you can simply select No and no further updates or downloads will be made. |
You are now ready to begin using your eBay integration by linking your eBay listed items to Brightpearl products and downloading orders.
