Once your products have been created in Brightpearl and your items have been listed on eBay you are ready to link them up. This guide will take you step-by-step through linking up your products. If you imported your products from existing eBay listings then they will already have been linked up during that process, we recommend you now read the section below on how prices and quantities are synchronised.

1. Connect active eBay listings to Brightpearl products
Once the eBay Integration is live, any items you are listing on eBay will automatically be displayed in Brightpearl on the eBay Listings report. This report provides a real-time overview of your eBay account and is where you connect your listings to products. You need to connect each one to the associated product record in Brightpearl so that inventory and price information is synchronised when you buy and sell stock.
The eBay Listings report automatically displays your active listings with 50 per page. You can use the filters to show up to 200 per page and display your inactive items. It has the following columns:
| Listing ID# | This is the ID number provided by eBay for each of your listed items. Click this to view a preview of the listing on eBay. |
| Listing Title | This is the title of each of your items listed |
| Product Name | Initially displays “Link to inventory item”, click to search and connect the listing in eBay to a product in Brightpearl. Once this is done you will see the Brightpearl product name, click on it to view further information about the product in Brightpearl, such as inventory levels and allocations, or to then go and edit the product record. |
| Listing Type | This tells you whether you have set the eBay listed item with a fixed price or as an auction. |
| Start Time | This tells you the start time of the listing that you created in eBay. |
| Sold | This tells you how many of this item you have sold through eBay in total. |
| Available |
This tells you the quantity of the item listed on eBay. |
To give you a chance to link your products before sales start coming in, we suggest setting your eBay listings to start at a scheduled time.
Follow these steps to link your products:
- Go to Multichannel > eBay Sales > Listings.
- Click the Connect link next to the eBay listing.
- In the pop-up window search for the relevant product record in Brightpearl.
- When the correct item is displayed click the Link button next to it.
- The window will close and the item is now connected. Repeat these steps until all your eBay listed items are connected.

Hint: You can view your listing on eBay by clicking on the listing reference.
Once items have been linked to products, the Product Name column will display the Brightpearl product name. You can click on the product name to view further information on the product, such as current inventory levels, allocations, descriptions and even jump to edit the product record.
Note: The eBay quantity will NOT be updated at the point they are connected.
2. How prices and quantities are synchronised
Now that your eBay listings and Brightpearl products are linked, changes to inventory levels and prices will synchronise. Inventory levels are not synchronised on the initial connection to Brightpearl products, only subsequent changes through sales, purchases and corrections.
Updating Prices
To synchronise the price displayed on eBay, you must update the product price in Brightpearl. When you have multiple price lists the Brightpearl price used is taken from the price list chosen during your eBay integration configuration. You can change this at any time on your eBay Channel at Setup > Channels > List channels. But remember, only subsequent changes to a product price will synchronise. So the old prices will remain displayed on eBay until you have amended the price of each product ...even if this means simply changing it and changing it back again. Prices can be amended individually directly on the product record, or you can do them all at once by importing your product list or importing your price list.
Updating Quantities
To synchronise the quantity available displayed on eBay, you must update the product on-hand inventory level in Brightpearl. This includes changes due to items being allocated, fulfilled or shipped on sales orders, items received on purchase orders, items transferred to another warehouse and changes due to stock corrections.
The quantity is not immediately updated on linking the item to a product because you may have a quantity on eBay which hasn’t been accounted for in Brightpearl. This would cause the quantity to be set to zero and your listing potentially being closed by mistake! Think about the following scenario:
You have had an item listed on eBay, let’s say a Mug, for some time, the current quantity listed on eBay is 10. Up until now you’ve kept your eBay sales separate so you never added this item as a product in Brightpearl. Now that you’re using the eBay Integration you create a new Brightpearl product for the mug and connect it to your eBay listing. Since the inventory level in Brightpearl is zero you do not want your eBay listing to be synchronised! You will, however, need to update your Brightpearl inventory level to match your physical inventory, so you create a stock correction to indicate you have 10 mugs; this updates your Brightpearl inventory level and keeps your accounting in-line. This subsequent change will be synchronised with eBay and so the two inventory levels (eBay and Brightpearl) will be equal (unless you have configured it to not update of course).
Note: Changing a price will not update the quantity and changing the quantity will not update the price.
3. How to manage product variants
If you are selling products with different options, such as small, medium or large, it's important to maintain inventory management down to that level. Both Brightpearl and eBay support the creation of product variants. Read the Variants guide to learn more about creating products with options.
When items are listed with variants on eBay they will download as individual lines on the eBay Listings report so that you can connect each one up to the relevant variant in Brightpearl.
