Labels and Barcodes

Brightpearl lets you work with barcodes on products for speeding up Point-of-sale sales entry.

You can use barcodes printed directly on products or print out your own barcodes. You could even build a sheet of barcodes which you keep accessible to easily add standard items to any EPOS order!

Setting Up

Barcodes are setup against products. Each product has its own barcode field which is used when barcode labels are printed. If your products already has a barcode you can enter the code here. If you don't have a barcode for an item and want to print labels, you can set Brightpearl to use the product ID for items where the barcode field is blank, amongst other things, via Setup > Other > Labels.

There are also EAN and ISBN fields on the product edit screen; these are used on data feeds and are not printed on labels; you'd need to have the same data in the barcode field too.

You can batch update your products using Excel to make this process quicker.

Barcode Formats

Brightpearl supports i25 and Code128 formats - you might find that you need to use the larger code128 format if your printer isn't sharp enough. Both will scan in the same way using the Touch 65 scanner.

Printing Barcode Labels

Note that label printing is only supported for A4 paper format. If you're in the USA, or use "letter" format, you should set your printer and paper to use A4

Barcodes will be displayed for printing on an A4 Avery-style sheet on a regular printer, requiring no special barcode printer to be installed. The quality of the printer should be high enough to give a crisp line. It’s a good idea to print the barcodes even if you don’t have a barcode scanner since the barcode will show the item's price, it’s name and the item code for typing into the POS screen.

Print Barcodes for Products on Sales or Purchase Orders

If your items already have a barcode printed on the packaging, then you don't need to print labels. However, if the items don't have barcodes, you can print labels and use the Brightpearl product ID as the barcode if the code is blank.

You can create a barcode for every different type of item on a sales or purchase order, or one for every single item (i.e. print 10 labels for an item with quantity 10).

  1. Search for and open the Sales or Purchase Order.
  2. Click the drop-down arrow on the Save changes button and click Print Barcodes.
  3. In the pop-up window select whether to print one label per different item or one for every single item.
  4. Select the price list to indivate what price should be printed.
  5. Click Print in new window.

Print Barcodes on Goods-out Notes

You can also print a barcode on your goods-out notes. All you need to do is include the _barcode_ widget on the template.

Scanning this will let you identify the goods-out note, perhaps using our API.

You can also show a barcode for each item on the goods-out note. You will need to configure custom columns on the goods-out template by including the _productTable_ widget with the column code "barcode" to display it inline with it.

Scanning Barcodes

The cost effective Datalogic Touch 65 barcode scanner plugs into a USB port - it's dead easy to get up and running. Brightpearl supports two types of barcode data on the POS screen:

  • Item ID (product ID)
  • Item barcode (the barcode field in the product edit screen)

The USB scanner is what's called a "keyboard wedge" which is really just an automated keypad. The numbers are entered into the barcode field and "enter" is hit automatically.
