Product "seasons" let you stay on top of large, fast moving product sets. Say for example you are selling 1,000 SKUs from a range of clothing one year, and then the next year the brand launches another 1,000 SKUs. You want to retain all the data in your Brightpearl account (you can't actually delete products once they have been bought or sold anyway), but you don't want the screens to be swamped with information you don't need. Say hello to Seasons!
Setting up and creating seasons
Seasons is a feature that needs to be activated in the Setup > Products > Inventory settings screen. Once you've turned seasons on then extra menus will appear throughout the app. Adding seasons is simply a case of creating new seasons as and when you need them; with a description field if you want to add extra information such as last order deadline, delivery dates etc.
Seasons are sorted alphabetically so we'd suggest you give them a name that puts them into the same sequence you'd expect to see the products arrive.
You can set the "current season" on the inventory settings screen; this will pre-populate the season field on the order edit screen so that when you add items to the order, only products from that season (and items not assigned to a season) are shown. You can change the season on the order edit screen if you want to.
Adding products to seasons
Products can optionally be set to one or more seasons. Many products will span multiple seasons, so you can select as many as you like.
- Assign products to seasons one by one on the product edit screen, or:
- Batch set products to seasons using the batch process tools on the product list. Note that anything you choose on the batch process will OVERWRITE all seasons for the product.
Currently it's not possible to set seasons by import or XLS, but we're working on it.
Viewing products for a season
The product list filter will let you see all items that have been assigned to a season.
Seasons and orders
Each order can be assigned to a season to make product entry easier. When using the quick-add and the batch-add items processes, Brightpearl will only show you the items for the seleted season (and items that have not been assigned a season). If you want to add items from multiple seasons, you can change the season field on the order.
The sales and purchase lists can be filtered to show orders for a certain season if you need to do so.
Reporting on seasons
To see what items have sold in a certain season, then use the Sales detail report, which itemises products and can be filtered to show sales from a certain season. Note that the product season is used, NOT the sale season. The sale season is purely to make item entry easier.
