Warehouses

In order to add more warehouses you will need to activate the multi-warehouse function.

NOTE THAT IF YOU DECIDE NOT TO USE MULTIPLE WAREHOUSES AND YOU HAVE ADDED STOCK TO AN ADDITIONAL WAREHOUSE, YOUR STOCK WILL BE RESET WHEN YOU SWITCH BACK TO ONE WAREHOUSE

Warehouses and locations are used to record the exact physical location of your stock.

  • A Warehouse represents a collection of Locations in which physical stock is stored, like a stock room or a warehouse.
    - They are associated with an address, which is generally the postal address for the purpose of shipping goods to and from that warehouse.
    - Moving inventory between warehouses requires you to create a Stock Transfer that goes through the standard goods-out process, and is then received into the destination warehouse.
    - The use of Stock Transfers allows an audit trail of stock movement between warehouses.
     
  • A Location represents a physical space in a Warehouse that an item of stock can be held in, like a shelf or a bin.
    - Moving items between locations is done using an Internal Stock Movement
    - There is no audit trail of items moved internally within a warehouse

By default your Brightpearl account will have only one warehouse and one location in that warehouse.

  1. Go to Setup > Products > Stock settings.
  2. Select Yes for Multiple warehouses.
  3. Save your changes.

Creating Warehouses

Add as many warehouses as you need, but don't get carried away! Managing inventory across multiple warehouses adds a lot of effort. You may find that if your "warehouses" are actually in the same physical location you may prefer to use a set of location codes to define warehouses, e.g.

W1.xx.xx.xx - warehouse 1
W2.xx.xx.xx - warehouse 2

It's easier to move items around within a warehouse than it is to move items between warehouses, the latter requiring creation of a goods-out note and then running the goods-in process at the other end.

When you produce Stock transfers between warehouses, the destination warehouse will need an address to display on the paperwork.

  1. Go to Setup > Products > Warehouses.
  2. Click Add Warehouse.
  3. Enter a name and contact details for the warehouse.
  4. Click Save.

You warehouse is added and is ready for adding or receiving stock. Each warehouse has a single standard location (0.0.0.0), read on to learn how to create more locations within your warehouse.
