Brightpearl requires you to create a Purchase Order for any stock you wish to buy, so that the quantities can be tracked and their cost value can be allocated against an invoice later. The best time to create the Purchase Order is before you place the order with the supplier so you can keep track of stock you're waiting to receive and prevent over ordering. You can use Brightpearl to email the Purchase Order automatically to the supplier if they have an email address.
Creating purchase orders can be done in various ways, giving you flexibility to find a way that will help you create accurate data and save you time:
- Manual - Add each purchase manually into Brightpearl. Do this for new orders before sending it to your supplier. There are plenty of ways to make sure this method is quick and accurate.
- Clone - Purchases can be cloned from Sales Orders, you might do this when you need to purchase inventory to fulfil a sale, or for drop-ship sales. You can also clone a previous purchase order to a new one for the same or a different supplier.
- Automatically - Brightpearl has the ability to suggest purchases based on low inventory levels and supplier order quantities so that purchase orders can be quickly generated.
