Sales / Credit Statuses

Sales and credit statuses are used to monitor sales and credits through your sales cycle. You will define your own steps and procedures for your sales cycle and Brightpearl allows you to create your own sales and credit statuses to monitor the progress as you work through your processes.

An example for a mail order company may be:
Quote --> Stock allocated --> Please Ship --> Packed --> Closed:Shipped

An example for a web design company may be:
Quote --> Quote approved --> In progress --> Closed

These stages are all optional, so for example if you were creating sales at a till point they would go straight from Quote to Closed:Other when the sale was completed. You can add extra statuses or amend the names of the existing statuses as you wish and set a number of statuses to be applied automatically when specific milestones are reached in the sales process, such as when an order is invoiced.

Your sales listings can be filtered by status, allowing you to easily work through the orders that need attention, for example, those that are ready to be shipped or invoiced.

Remind days

Brightpearl will display on-screen notifications if you haven't updated any sale in a certain number of days, a very useful feature that ensures that you keep on top of important stuff, like undelivered or on hold orders.

When you set up a sale status, choose the number of remind days. Any reminder alerts are displayed on the left-hand side of the screen.

Notification email

When a sale changes status, you can get Brightpearl to automatically send an email out to someone. This can be useful if you want to keep a close eye on specific changes, such as cancelled orders.

Create a Status

  1. Go to Setup > Sales > Sales Statuses or Credit Statuses.
  2. You'll notice that there are a number of default statuses already configured. You can amend any of these by clicking the pencil edit icon. To add a new one click Add a new status.
  3. Enter a name for the status.
  4. (Optional) Specify the number of reminder days.
  5. Specify whether you want sales/credit with this status to show in the customer portal.
    Note: The end-of-day batch post process is no longer relevant, ignore this.
  6. (Optional) Enter the email address for email notifications.
  7. Use the colour wheel to colour code the status.
  8. Click Add new status.
  9. You status is added. Use the arrows on the left to click and drag your statuses into order.
