Preparing Orders for Shipping or Drop-shipping (Fulfillment)

Fulfillment is the first stage of shipping or drop-shipping an order. It is the process used to select some or all items on an order for shipping from one or more warehouses or suppliers.

Fulfillment will create a goods-out note per shipment from each warehouse, or a drop-ship purchase order per supplier.

Once order rows have been fulfilled the stocked items cannot be sold to anyone else unless the goods-out note is deleted.

The fulfillment status of an order is recognized using the following icons:

Sale not fulfilled

Sale part fulfilled

Sale all fulfilled

Split shipments / partial fulfilment

A single order can be dispatched in multiple shipments. This allows those items currently in stock to be dispatched and any out of stock items to be sent later, it also allows items which may be in stock at another warehouse to be shipped directly from there.

Using split shipments allows a single order record and invoice to be created. If items are sent in multiple shipments which are invoiced separately then the order must be split using the back order process.

How to part fulfill an order for a split shipment

  1. Search for and open the order.
  2. Hover over the Fulfill order option at the top of the page.
  3. Select the third option Partial/Advanced fulfill.
  4. For each order row, indicate how many items should be shipped. Brightpearl will automatically attempt to fulfill the full ordered quantity or as many as possible from on hand inventory.
  5. (Optional) Select a shipping method to assign to the goods-out note, or leave it blank to apply the order shipping method.
  6. Click the Create purchase orders / goods-out note button. The goods-out note will be displayed at the bottom of the screen.
  7. Click the order reference at the top of the page to return to the order and see that it is partially fulfilled.

Fulfilling items from different warehouses

Where items are stocked in multiple warehouses it may be that a single order will be fulfilled from different places. Although an order is assigned a single warehouse, the items can be shipped from multiple warehouses by using split fulfillment.

How to fulfill items on an order from different warehouses

  1. Search for and open the order.
  2. Hover over Fulfill order at the top of the page and select their third option Partial/Advanced fulfill.

  1. Specify how many items are to be sent in this first shipment. Enter zero if none are to be sent.

  1. Select the warehouse the items are to be shipped from (each different warehouse selected creates a separate shipment/goods-out note).
  2. (Optional) Select a shipping method to assign to the goods-out notes, or leave it blank to apply the order shipping method.
  3. Click the Create Purchase Orders / Goods notes button. The goods-out note will be displayed at the bottom of the screen.
  4. Click the order reference at the top of the page to return to the order and see that it is partially fulfilled.

Fulfilling to drop-ship

Drop-shipping is where the supplier is asked to deliver the goods directly to the customer. In Brightpearl this process always begins with a sales order which is then fulfilled to a purchase order, instead of a goods-out note.

The purchase order is linked to the original sale. You can choose whether the sales order will be marked as shipped once the purchase invoice has been received or whether they will be marked as shipped at another stage of the drop-ship process. This setting can be found in Settings > Purchases > Purchase settings:

If you select no, you will find an additional action against any drop-ship purchase orders to Mark as Shipped. Selecting to do so will mark the entire order as shipped, and automatically update the parent sales order rows as well.

You can also mark the parent sales orders as shipped in bulk from within the Purchases list.
